Data Protection

When you visit Our Website, non-personally identifiable data about you is automatically detected and logged by our server. Typically this will include your domain name and country, the page(s) visited, search terms and search engines employed and the web browser used. This applies to all visitors to Our Website. This information is used by us solely to monitor usage of Our Website and to find ways of improving it. It is never passed or sold to any third party.

Registration

Members of Stu’s Band of Brothers (Brothers) are required to provide contact details (name and email address) at registration. Further personal details may subsequently be provided at the Brother’s discretion. Once registered, all Brothers can see, edit, or delete their personal details at any time. Website administrators can also see and edit those details. Certain personal details are available to other registered Brothers and are provided for ease of communication. Brothers are expected to keep these details up-to-date. All personal details are kept securely by Stu’s Band of Brothers. Passwords are encrypted and cannot be seen by users or administrators.

Attempted registration by others will be declined, and any personal details submitted will be deleted from our database.

Additional Information

Brothers may provide additional information including but not limited to training progress, fitness, images, personal statements, etc. and, where agreed by the Brother, may be posted publicly on Our Website. Such additional information may be retained indefinitely.

Comments

When you leave comments, vote or post topics or replies on Our Website we collect the data shown in the applicable form, and also your IP address and browser user agent string to help spam detection.

An anonymised string created from your e-mail address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture, where used, is visible to the public in the context of your comment.

Comments, topics and replies may be moderated. Any such contribution deemed offensive, defamatory, profane or objectionable is not permitted, will not be published and the perpetrator risks being banned from posting on Our Website. It is in Stu’s Band of Brothers’ absolute discretion what is and is not permitted, and what action, if any, will be taken.

Comments may also be checked through an automated spam detection service.

Downloads

Some items are made available for download, e.g. copies of Newsletters. Data related to downloads, e.g. IP address, country of origin are collected to assist us in determining where our supporters are located.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. Download data is also retained indefinitely.

What rights you have over your data

If you are registered on Our Website, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Media

If you upload images to Our Website, you should avoid uploading images with embedded location data (EXIF GPS) included, unless material to the context. Visitors to Our Website who can see those images can download and extract any location data contained therein.

If you leave a comment or subscribe to our newsletter, we add your name and email address to our newsletter mailing list, which is held on our hosted servers. We manage the list ourselves and no personally identifiable details are transferred elsewhere.

Every newsletter contains an unsubscribe link, which when activated will permanently remove your details from our list.

Should any newsletter sent by us to you be undeliverable after three attempts, your details will be removed automatically from our list. Should this occur and you wish to continue to receive our newsletter, you will have to resubscribe on Our Website.
